Your function
As Executive Assistant to the CEO, you will provide high-level strategic and operational support to ensure the smooth running of the Executive Office.
This is a 6 to 8-month fixed-term assignment, covering a temporary replacement.
Far beyond traditional executive support, this highly visible role combines complex executive assistance, governance coordination, executive communications and cross-functional stakeholder management. You will become a trusted partner to the CEO, ensuring priorities are well managed, governance processes run seamlessly and executive-level communications are prepared to the highest standard.
Key Responsibilities
Executive & Governance Support
- Coordinate and prepare key governance meetings, including the Board of Directors, Executive Committee and subsidiary Boards.
- Prepare agendas, briefing packs and high-quality supporting documentation.
- Draft executive briefing notes and speaking points, ensuring consistency of messaging across meetings.
- Support the organisation of governance committees and shareholder-related meetings, such as Risk Steering Committees, Global Distribution Oversight Committees and Annual Business Reviews.
Executive Coordination & Business Support
- Coordinate monthly Executive Business Reviews, including agendas, documentation and follow-up actions.
- Monitor action points and ensure timely follow-up across multiple departments.
- Act as a central point of coordination between the CEO, Executive Committee members and senior stakeholders.
- Support the CEO in managing priorities and ensuring strategic initiatives progress efficiently.
Executive Communications
- Prepare executive briefing documents for client meetings, external engagements and strategic discussions.
- Draft, review and adapt presentations, speeches, executive summaries and key messages.
- Support the preparation of communication materials in collaboration with internal Communications teams, including Q&A documents, one-pagers and executive messaging.
- Contribute to internal communication events such as Town Halls, leadership meetings and management seminars.
Meetings & Executive Events
- Support the CEO in the preparation of external engagements, client meetings and industry events.
- Coordinate executive event logistics, participant briefings and supporting documentation.
- Assist with internal leadership events, onboarding sessions, management meetings and corporate visits.
Strategic Executive Support
- Prepare executive summaries, briefing notes and concise management documents on strategic topics.
- Translate complex business information into clear, executive-level documentation.
- Deliver high-quality presentations and decision-support materials for senior leadership.
Executive Office Management
- Manage a highly dynamic and complex executive calendar, ensuring effective prioritisation.
- Coordinate incoming requests and communications, ensuring timely follow-up.
- Support the CEO's professional visibility, including coordination of LinkedIn content and external communications where appropriate.
- Ensure the Executive Office operates smoothly through proactive planning, anticipation and exceptional organisational support.
Your profile
Experience
- At least 6-10 years of experience as an Executive Assistant supporting C-level executives within an international or corporate environment.
- Previous exposure to Executive Committees, Boards of Directors or governance structures is highly valued.
- Experience within financial services, banking or asset management is considered a strong asset.
